Emergency Cancellation Messages from the President of VCQ

Dear VCQ Members and Friends,
 
The VCQ Board has decided to cancel the August 8th Retreat in Williamsburg, VA. The health and safety of our attendees and teachers is paramount to the organization. Although the spread of Covid-19 is expected to diminish in the coming months, VCQ does not feel that gathering our typical group of 60 or more above 50 yr olds in one meeting space is a wise decision. Please spend the day serving your community in some safe way.
Celebration 2022 is scheduled for April 28 - May 1, 2022.

Hello VCQ Quilters and Friends,
 
We're all facing a difficult time. I want to give you an update on the VCQ retreats.
 

WILLIAMSBURG RETREAT

 
The retreat in Williamsburg for March 14, 2020, was postponed on short notice and we are planning to hold it on August 8, 2020. When the governor of Virginia declared a State of Emergency, we knew we had to act immediately for the safety of all. VCQ board members are working to book the same teachers and have secured the same location and caterer for the August 8th retreat. It has cost us about $600 in catering fee and other expenses for the cancelled meeting.
 
At this time, you have three options if you registered for the Williamsburg retreat:
- transfer your registration to the August meeting and apply the fee already paid,
- get a full refund,
- or donate all or part of the March registration fee to help VCQ defer some expenses for the cancelled retreat. Click here to tell us your preference: https://forms.gle/43aFUUsGKsnaQrBV9
 
If members did not get a refund of their hotel room booked online in Williamsburg, please call the hotel directly and talk with the desk to override their cancellation systems for the refund.
 
As usual, we plan to send the registration form for August in the newsletter online in June.
 

CELEBRATION 2020

 
After much deliberation, the VCQ Board and the Celebration 2020 Committee decided to postpone the four-day retreat originally scheduled for April 23 - 26, 2020. In an abundance of caution and conferring with the staff of the 4H Center at Smith Mountain Lake, it is best that the event be moved forward to 2022. In the next few weeks your board and committee members will find out teacher commitments, venue availability and financial details to share with the membership. The organization has spent some money for items which can be used in the future, but there are some expenses which cannot transfer to a new event. We will analyze the information and present options to members about refunds. Please be patient. We hope to have these decisions made within the next 30 days.
 

VOLUNTEER TO LEAD VCQ

 
Part of being a member of a non-profit is taking a turn volunteering to lead and/or assist in a function of that organization. VCQ needs YOU! VCQ depends on volunteer members to handle the organization's business and create memorable events for all of us. It takes a team to get this done.
 
Step forward to help your organization. VCQ has been blessed to have a core group of volunteers that need to rotate off the boards and committees where they have served for many years. Please contact me to talk about positions that need to be filled. (Celebration 2022 Committee and Chair, Vice President, Historian, Programs chair, Facilities chair, Area Rep for Southern Shenandoah Valley, Southwest, Richmond). All of these positions can be shared between two people. So grab a quilt friend and join the VCQ Board. As always, promote VCQ with your friends and at local quilt guilds to help grow our membership.
 
We look forward to a chance to have fun and learn new techniques in August. VCQ board members are also working on the retreat for November 14 in Harrisonburg, the home of the Virginia Quilt Museum, for another outstanding day.
 
In the meantime, work on our charity projects: ALS 9-patch blocks with brights at the four corners/center and light/medium cream in the four remaining squares and ICU bassinet covers. Support your local quilt shops online. We look forward to seeing you in August!

Dear VCQ Members,
 
Information about the spread of the coronavirus is changing by the hour. The governor of the state of Virginia has declared a "State of Emergency". Out of an abundance of concern and caution for VCQ members, their families and friends, I have cancelled this weekend's retreat in Williamsburg. It is just too dangerous to bring all those people together, particularly when most of them are in the "most vulnerable" category. We are all disappointed to have to cancel, but in life or death situations, it is prudent to err on the side of caution.
 
Your board will be making every attempt to contact all the registrants to get the word out. So now that you have seen this announcement, please contact those you know who are planning to attend to be sure that everyone gets the message.
 
There will be a phone call of the VCQ board and the Celebration Committee to determine whether or not to cancel Celebration now scheduled for April 23-25, 2020. We will let you know that decision as soon as possible.
 
Thank you for your understanding in a rapidly changing emergency situation. We hope you and your loved ones remain safe and healthy.
